show regulations

To read complete regulations, acquire order forms and for other details regarding your booth space, exhibiting companies must sign in to the Exhibitor Service Manual.

AFTER HOURS SHOW FLOOR ACTIVITIES
Exhibitors wanting to host activities or events on the exhibit floor during the closed hours of the show must receive permission from Show Management. Exhibitors may contact
Mary Kate Martin with their request for approval. Show Management will notify the exhibitor of the event's approval status.

AISLE SPACE
Exhibitors shall not solicit business in the aisle or engage in any activity that leads to congestion in the aisle. The aisles, passageways, overhead space, lobbies, and meeting spaces remain strictly under control of the Remodeling Show and DeckExpo and no signs, decorations, banners, advertising materials, or special exhibits will be permitted in these areas expect by written permission from Show Management. Any and all distribution of advertising or promotional materials must be made from the Exhibitor's booth space.

AMENDMENT TO REGULATIONS
All regulations outlined in this document will remain in effect during the entire installation, show days and dismantling. In addition to these regulations, those outlined in the Exhibit Space Application & Contract Terms and Conditions will also be in effect and enforced. Any and all matters not specifically covered by either of these documents will be subject solely to the judgment of Hanley Wood and may be amended at any time, with reasonable notice.

ATTENDEE RESTRICTIONS
Remodeling Show and DeckExpo are open to the trade only. No one under the age of 18 will be allowed on the show floor without direct adult supervision at all times. At no time will any person under the age of 18 be allowed on the show floor during set-up or tear down.

BOOTH STAFFING
Exhibits must be manned during official show hours. Booth representatives shall wear show identification badges furnished by the Remodeling Show and DeckExpo. No other identification will be considered valid if worn without the official show badge and badge holder.

CARPET / FLOOR COVERING
Exhibitors must provide carpeting or some other form of floor covering for their booth. Carpet can be ordered through Freeman.

DEMONSTRATIONS AND ENTERTAINMENT
As a matter of safety and courtesy to others, exhibitors should conduct presentations and demonstrations in a manner which assures all exhibitor personnel and attendees, as well as the sound and entertainment itself, are within the limits of the contracted exhibit space and do not overflow into aisle space or neighboring exhibit spaces. It is the responsibility of each exhibitor to arrange displays, product or machinery in a manner that will ensure compliance. If entertainment or demonstration volume is disruptive to neighboring booths, Show Management reserves the right to request the entertainment or demonstration cease or be limited. In addition, all samples, literature and giveaways must be distributed within the limits of the contracted exhibit space.

DISMANTLING
All displays must remain intact until the official close of the show. No exhibitor may begin dismantling, packing or move-out prior to the close of show at 2:00 pm on Friday, September 17, 2010. Early dismantling, packing or move-out may result in a loss of priority points.

EXHIBIT SPACE FEE MUST BE PAID IN FULL
Show Management will permit no exhibit installation unless ALL FEES ARE PAID IN FULL.

EXHIBITOR APPOINTED CONTRACTOR
Exhibitors may utilize the services of an Exhibitor Appointed Contractor (EAC). Exhibitor Appointed Contractors are designated through ConnectionPOINT
.

EXPOSED WALLS
All exposed parts of constructed displays must be finished to present an attractive appearance when viewed from aisles or other adjoining booths. Exposed back and sidewalls may not display copy, logos, graphics or other advertising. Exhibitors using curved pop-up backdrops/displays may be required to provide side masking drape at their expense if the curvature exposes more than three feet of the back scaffolding.

FIRE AND SAFETY REGULATIONS
Fire regulations are strictly enforced. The Center is regularly inspected by the Baltimore City Fire Marshall. Exhibitors are expected to comply with all in effect at the facility. Any and all material used in the construction of an exhibit/display must be non-combustible and flameproof. It should be noted the Fire Marshal has final say on any jurisdiction disputes.

  • Exit signs must be visible from any location in the room.
  • Tents are prohibited inside the building without prior written approval by the Center from the Baltimore City Fire Department's Public Assembly Officer
  • No combustible materials, merchandise or signs shall be attached to, hung or draped over fire-resistant side and rear dividers of booths or attached to table skirting facing aisles, unless fire resistant.

Exhibit Booths:
  • Exhibit booths must be installed so that they neither interfere with access to emergency exits nor restrict visibility of required emergency exit signs or equipment.
  • It is the exhibitor's responsibility to ensure safe exhibit booth construction. Drapes, signs, banners, acoustical materials, decorating materials, plastic cloth and similar materials must be flame retardant or fabricated from inherently fireproof materials. The exhibitor should have a certificate of flame retardant available for review by the Baltimore City Fire Department's Public Assembly Officer (BCFD-PAO). The Public Assembly Officer may at his or her sole discretion perform a flame test of exhibit materials. The use of any material that cannot be made flame retardant is prohibited.
  • Exhibitors, service contractors, and all other event personnel shall comply with all federal and municipal fire codes, which apply to places of public assembly.
  • Each enclosed or covered area must be protected by an audible smoke detector. This includes storage closets built into the exhibit.
  • Each enclosed or covered area must display a charged and approved fire extinguisher.
  • The maximum occupancy of the load-bearing area(s) in a multi-story exhibit is limited to one person per fifteen net square feet of floor space, not to exceed a total of twenty-five persons. This maximum occupancy must be posted.
  • Exhibit booths that are multi-story, contain covered assembly areas, such as conference areas or theatres, or extend beyond 300 feet, must meet the following minimum life safety requirements. This type of booth requires a separately approved floor plan by the BCPD/PAO and documentation of load capabilities for the second level must be provided.
  • There should not be less than two means of egress from each load bearing area(s) in excess of 200 square feet in a multi-story exhibit, or from each covered assembly area in excess of 200 square feet.
  • An "automatic extinguishing system" must protect single level booths greater than 300 square feet and covered with a ceiling.
  • A single exhibit or group of exhibits with ceilings that DO NOT require sprinklers must be separated by a minimum of 10 feet where the aggregate ceiling exceeds 300 square feet

Hazardous Materials are prohibited. These include:
  • Compressed flammable gases such as acetylene, hydrogen, propane. Flammable and combustible liquids such as gasoline, kerosene, cleaning solvents and other petroleum-based materials.
  • Hazardous chemicals such as pool chemicals, pesticides, corrosives, herbicides, poisons, etc.
  • Explosive material. Small arms ammunition may be allowed under certain circumstances.
  • Cooking and/or warming devices in compliance with item "Cooking and Warming Devices".
  • Oil cloth, tar paper, sisal paper, Spanish moss and burlap
  • As per section 31-1.4.5 of the NFPA 101 Life Safety Code, furnishings or decorations of an explosive or highly flammable character shall not be used. Natural cut trees as well as other Christmas decorations (wreaths, garland, etc) are strictly prohibited. Living trees in a "balled" condition with roots protected by an earth ball may be permitted provided they are maintained in a fresh condition and are not allowed to become dry.


Miscellaneous Requirements:
  • Chairs - connected no more than 15 chairs across between aisles.
  • Minimum Aisle Space - 44 inches with chairs on both sides.
  • Smoke or Fog Machines -Water based machines only.
  • Pyrotechnics/Fireworks Inside Building - ONLY approved effects and cold spark devices (requires prior approval).
  • Display or use of hay, straw, wood chips, bamboo, lumber - Permissible only if treated with a fire retardant and pre-approved by Center and Fire Department.
  • All tripping hazards should be eliminated.
  • Welding/cutting for demonstration purposes only (special permit required.)

FOOD AND BEVERAGE
Centerplate has exclusive food and beverage distribution rights within the Baltimore Convention Center. No food, beverage, or novelties may be brought into the facility or sold with out the express written consent of Centerplate Management (enticement candy excluded.) The Catering Department of BCC retains the exclusive right for booth catering. The combination and/or preparation of companies'/sponsors' products designed for the purpose of nourishment or entertainment, as in a reception, is deemed "catering."

All food and beverages handed out by an exhibitor must be ordered through the contracted catering and food service provider. The making and/or distribution of popcorn is not permitted on the show floor.


Cooking in Exhibitor Booth

  • The Center has prepared these guidelines for exhibitor cooking in conjunction with the Baltimore City Fire Department's Public Assembly Officer. The guidelines cover all cooking appliances, which include any heat producing or electrical device used to warm or prepare food, such as, but not limited to: stoves, barbecues, hot plates, crock pots, woks, frying vats, and microwave or convection ovens.
  • Exhibitors who plan to cook and distribute food at the event must contact Mary Kate Martin by Friday, July 30, 2010 and provide manufacturer's specifications for the cooking equipment, appropriate drawings or photographs of such equipment and a description of the intended method of cooking.
  • The Baltimore City Fire Prevention Bureau must approve cooking and warming devices. Sterno may be used for warming trays. Cooking devices must be approved by a recognized testing laboratory (i.e., U.L., F.M.)
  • Cooking and warming devices and heated products must be isolated from the public by either placing the device(s) in a minimum of 4 feet back from the front of the booth, or provide a Plexiglas shield between the cooking or warming devices(s) and heated products. A minimum of 2 feet must be maintained between cooking devices within the same booth.
  • Individual cooking or warming devices shall not exceed 288 square inches of surface area.
  • The table surface holding the cooking or warming device(s) must be of non-combustible material.
  • Combustible materials must be kept a minimum of 2 feet from any cooking or warming device. Use of butane canister must be pre approved by the Fire Marshall.
  • An approved fire extinguisher and metal lid for each device, or an approved automatic extinguishing system must be provided within each booth utilizing cooking or warming devices.
  • The use or storage of any flammable or combustible liquids, compressed gas cylinders, hazardous materials, or chemicals as fuel is strictly prohibited.
  • Frying equipment must be equipped with a grease-shield.
  • Deep fat fryers, wood or coal burning equipment, and bottled gas cylinders are prohibited.
  • A commercial exhaust hood and temporary venting system must be provided for each commercial cooking appliance except: completely enclosed ovens; steam tables; and auxiliary cooking equipment that does not produce grease-laden vapors such as toasters, coffee makers, or egg cooker.

GENERAL FACILITY
  • Helium-filled balloons when released are difficult to retrieve and require the use of an aerial lift for removal. The exhibitor will be charged for the cost incurred to remove the balloons at the end of the event. The use of Mylar balloons is prohibited in the facility. Certain areas of the facility have sensitive fire detectors. If balloons are used in these areas, you may be required to hire a fire warden.
  • Signs, banners and similar materials may not be taped, nailed, stapled, hung or attached to ceilings, walls windows and other surfaces.
  • Nothing may be rigged, suspended from, or attached to any Center mechanical system. This includes ducts, electrical conduit or raceways, plumbing, acoustical baffles, or sprinkler pipes. Rigging may only be attached to structural members.
  • The use of Velcro, stick-on decals and badges or similar items is strictly prohibited in the facility. The use of tape on any vertical surface, including but not limited to painted walls and portable walls within the facility is strictly prohibited. Any necessary cleaning or repair that is directly related to signs, banners, decals or materials provided by customer, will be assessed a clean-up and/or repair fee and will be charged accordingly.
  • No animals, except those licensed to assist the physically challenged, are permitted inside the Center as part of any exhibit, activity or performance.
  • No Segway scooters are permitted.

GOOD TASTE AND THE RIGHTS OF OTHERS
Show Management may require any exhibitor to make changes in the exhibit if, in show management’s opinion, the exhibit does not conform to prevailing standards of good taste. Changes will also be required if the exhibit interferes with the rights of others.

HANGING SIGNS
Hanging signs are permitted over Split Island and Island Booths 400 square feet and larger. Whether suspended from above or supported from below, they should comply with all ordinary use-of-space requirements (for example, the highest point of any sign should not exceed the maximum allowable height for the booth type). Hanging Signs should be set back ten feet (10') from adjacent booths. Hanging sign rigging is ordered through Freeman. All hanging signs must be at least 18" from the ceiling. The ceiling height in the Baltimore Convention Center varies and a ceiling height map should be consulted while planning for the booth layout.

HOSPITALITY ACTIVITIES
Exhibitors hosting hospitality functions must refrain from holding these activities during official show hours. Only exhibitors in good standing are permitted to host a hospitality function in an official show hotel. All requests for a hospitality suite or public function space must be made through Show Management.

INSTALLATION DEADLINE
Installation of displays must be under way no later than 4:00PM Tuesday, September 14, 2010, unless otherwise targeted. If installation has not begun at that point, Hanley Wood reserves the right to have the display installed at the expense of the exhibitor, or to assign the space to another exhibitor. All installations must be complete by 5:00PM on Tuesday, September 14, 2010.

MUSIC LICENSING
Music licenses are required through ASCAP (American Society of Composers, Authors & Publishers) and BMI (Broadcast Music Inc.) for any live or recorded music. Music licenses can be requested by contacting ASCAP & BMI using the contact information provided below.

PARKING
Although the Baltimore Convention Center is unable to provide public parking, there are several option in the form of public lots and hotel parking garages located in the immediate area. Please review the
parking map for specific locations.

PHOTOGRAPHY/FILMING
Photography and/or filming of any display or product other than the exhibitor’s own is prohibited unless permission has been obtained from the firm whose booth is being photographed/filmed.

POPCORN
The making and/or distribution of popcorn is not permitted on the show floor.

POWER TOOLS
Exhibitors are not permitted to use power tools (electric drills, power saws, etc.) on booths of any size. Exhibitors may not borrow tools, ladders or other equipment from the Convention Center and/or Freeman.

PROTECTION OF PROPERTY
Show Management will provide general perimeter security. Each exhibitor must make provisions for the safekeeping of his goods before the opening, during & after the closing of the exposition. No responsibility is assumed by Show Management or any of its contractors for merchandise lost or damaged. Show Management suggests locking down plasma screens, computers, and other technology or securing them to the booth structures so that they are not easily removed. Tools should also be secured. Exhibitors must insure his goods at his own expense. Exhibitors may
hire additional security using the Show Management selected security.

SALE OF GOODS ONSITE (CASH AND CARRY) - SALES TAX LICENSE
Any event which sells a product or merchandise to the general public or large private groups will be responsible for collecting the 6% Maryland Retail Sales Tax. Each exhibitor will be required to have a 30-day license from the State of Maryland. If an exhibitor already has a State Sales Tax License, the exhibitor is required to display a copy of said license at the place of the exhibit. All inquiries should be directed to:

SIGNS AND ADVERTISING DEVICES
No signs or advertising devices shall be displayed outside exhibit space. Nothing shall be posted, tacked or otherwise attached to columns, walls, floors or other parts of the building or furniture. All signs must be fire-retardant. Hanging signs must abide by the height restrictions as stated in the Exhibit Specifications. Sign copy must face into your booth if used along the back wall or side wall of an in-line booth.

SMOKING POLICY
The Remodeling Show and DeckExpo has a no smoking policy on the exhibit floor and throughout the facility. The Baltimore Convention Center is a non-smoking facility.

STORAGE
Storage of any kind behind exhibit booths will not be permitted.

SUBLETTING
No exhibitor may assign, sublet or apportion any of their contracted exhibit space without the prior approval of Show Management.

UNION CLEARANCE
All work involved in the installation and dismantling of exhibits and the movement of freight in the exhibit facility is under union jurisdiction. Exhibitors are required to comply with the
union regulations in effect.

VIOLATION OF RULES AND REGULATIONS
An exhibitor who violates any of these rules and regulations is subject to forfeiture of priority points for future shows. Repeated violation may result in loss of the right to exhibit or attend the Remodeling Show or DeckExpo.

VEHICLE DISPLAY
Show Management, Freeman, Baltimore Convention Center and the Fire Marshal all require prior notification of booths that will contain vehicles. Exhibitors must complete the
Vehicle Display Form if there will be any vehicles in the booth. Vehicles may be allowed in the building for display purposes provided they meet the following requirements:



  • Fueling or fuel removal is PROHIBITED.
  • Vehicles are prohibited from being moved during an event without prior approval.
  • Natural gas powered vehicles must have the tank purged before entering the building.
  • Exhibitors demonstrating or exhibiting a mechanized or motorized part powered by either propellant or electrical system must have prior written approval of the Baltimore City Fire Department's Public Assembly Officer. Approval must be secured through the event Account Executive not less than thirty days prior to decorator move-in.
  • Exhibitors requesting demonstration of, or exhibiting a moving vehicle must provide the event Account Executive with full written details of the proposed demonstration not less than thirty days prior to decorator move-in. After review by Center management, the request will be forwarded to the Baltimore City Fire Department's Public Assembly Officer for review and approval. The event Account Executive will provide the exhibitor with the decision of Center management and the Baltimore City Fire Department's Public Assembly Officer.
  • Gasoline powered vehicles on display must have fuel maintained at 1/4 tank or 5 gallons, whichever is less. Fuel tank caps must be locked or taped shut. Battery cables must be disconnected, and the connecting leads wrapped with electrical tape. Gasoline and diesel fueled material handling equipment may not be stored overnight in exhibit halls.
